As an Administrative Assistant supporting the Corporate Governance Division at Euroclear, your key responsibilities will include:
Proactively managing administrative arrangements for Shareholders, Board, Board Committees, and Management meetings
Providing comprehensive administrative support to key stakeholders, including Board members and Company Secretaries (e.g., booking international travel, managing expenses in line with Euroclear travel policies, handling travel documents)
Handling various administrative tasks, including screening calls, handling correspondence, and answering routine inquiries to maximize supervisor efficiency
Preparing and drafting routine letters, memoranda, and reports for internal and external communication
Gathering and summarizing data for special reports and complex presentations
Maintaining corporate records and ensuring compliance with regulatory and governance obligations
Managing Board and Management documents, ensuring timely formatting and layout of final materials
Assembling and distributing Board and Committee packs through the Diligent Board application
Assisting with Director training and supporting various corporate governance functions
We are looking for a highly skilled Administrative Assistant with the following qualifications and qualities:
A Bachelor’s or Master’s degree and at least 5 years of experience supporting senior managers in an administrative role
Strong knowledge of Microsoft 365 (including SharePoint, Outlook, Word, Excel, and PowerPoint)
Exceptional organizational skills, with the ability to work independently, prioritize tasks, and manage multiple responsibilities under tight deadlines
Excellent communication skills in English, with the ability to convey information clearly and transparently
Proficient in providing minimal technical support for setting up hybrid meetings
Proactive, flexible, and initiative-driven, with the ability to ask the right questions when needed
Positive and resilient under pressure, with a creative problem-solving mindset
Discreet and trustworthy, with the ability to handle sensitive materials and confidential information
A team player with strong interpersonal skills
Eager to learn new programs and tools used at Euroclear and open to taking on new responsibilities as the role grows
